Setting Up Scheduled Reports That Actually Get Read
The default instinct is to schedule everything daily and email it to everyone. That produces exactly the outcome you'd expect: an inbox full of reports nobody opens, and a false sense that the business is being monitored when it isn't.
Match the frequency to the decision it supports
- Daily — only for numbers someone will act on that same day: yesterday's sales, stock-outs, staff attendance exceptions.
- Weekly — for trends that need a few days of data to mean anything: category performance, customer retention, labour cost as a percentage of revenue.
- Monthly — for anything tied to a recurring decision cycle: P&L summaries, dividend or bonus calculations, board reporting.
Send it to one owner, not a distribution list
A report sent to five people is, in practice, read by nobody — responsibility diffuses. Send each report to the one person accountable for acting on it, and let them forward it if others need visibility.
